CLUB REGISTRATION PROCEDURE
All graduate student clubs must be registered with the Office of Student Activities (OSA) in order to charter. Below are the procedure steps student clubs must follow to register.
- HOLD ELECTION MEETING
Each organization is required to have a full executive board consisting of a President, Vice President, Secretary, and Treasurer. Graduate club officers must be matriculated students with at least a 3.0 GPA and be registered for at least 3 credits per semester. All officers must be elected each year by the club membership in accordance with your constitution.
A minutes record must be kept of the election meeting, the attendance, and student club membership indicating who was present at the election meeting. This MUST be completed online through the link provided below.
a) Minutes & Attendance: Please open the link, download the file, TYPE in the minutes, and save.
b) Membership: 10 Member minimum – Please open the link, download the file, TYPE in student names, type in student’s Hunter College emails only, and save.
- SIGNATURE PROFILE FORMS – 3 Copies – Submit to OSA Office, C001 North
THREE ORIGINAL copies of this form must be submitted to the Office of Student Activities, Room C001 North. All contact information MUST BE TYPED while signatures must be hand signed in blue/black ink ONLY. Electronic signatures are NOT acceptable.
Profile Form – Please open the link, download the file, TYPE in the minutes, print 3 copies, hand sign in blue/black ink each copy.
- COMPLETE CLUB ORIENTATION QUIZ
All elected officers are required to complete orientation and pass the orientation quiz by at least 75%. If an officer is unable to do so, the officer must retake the quiz until the officer passes by at least 75%. The quiz is based on the information covered in the club orientation presentation available below.

- COMPLETE EVERFI: Sexual Assault & Alcohol Abuse Training
New York State law that requires all student officers take EverFi training for Sexual Assault (Haven) and Alcohol Abuse (AlcoholEdu) prevention. If you have in fact taken both parts of EverFi, you do not need to retake it. However, your club secretary must indicate this when completing registration. Please complete both Haven and AlcoholEdu as soon as possible.

INSTRUCTIONS FOR ACCESSING YOUR EVERFI TRAININGS FOR THE FIRST TIME
In order to complete your EverFi Online Training,
you must use this registration code: b372241a
You must take part 1 of both Haven and AlcoholEdu as part of your registration requirement.
You can start part two 30 days after the completion of part 1. Part 2 can be completed after registration.
WHAT TO EXPECT
Once steps 1-4 have been completed, a club can be registered. The password to register online will be e-mailed to the club secretary when; a) the three copies of the signature profile forms have been submitted and verified b) and all officers have completed the passed the orientation quiz.
Below is the list of the required documents necessary to register:
- Constitution – New clubs/organizations must upload a club constitution; returning clubs generally do not need to re-submit a constitution.
- Election Meeting Minutes – Upload the election meetings and attendance sheet you saved in Step 1, Section A above.
- Club Membership – Upload the club membership you saved in Step 1, Section B above.
- College Association Workshop: Club President and Treasurer must attend the CA Workshop.

Only after receiving confirmation that your club is eligible to charter by the Office of Student Activities, a budget request may be submitted to the GSA. Your club budget will NOT be reviewed by the GSA until the President and/or Treasurer meet with the GSA. Email GSA at HunterGSA@gmail.com to set up a meeting.
